Job Overview
RedZone is seeking a highly organized and detail-oriented Scheduler to join our fast-paced team. In this role, you will be responsible for coordinating wildfire mitigation and inspection appointments with homeowners, broker, and insurance companies. You’ll play a critical role in ensuring timely and efficient scheduling, while providing excellent administrative support and clear communication to both clients and internal field teams. The ideal candidate has experience with scheduling tools, understands property inspections, and thrives in a dynamic, mission-driven environment.
Responsibilities
- Schedule and confirm wildfire mitigation and inspection appointments with homeowners and broker agents across multiple regions.
- Manage multiple field team calendars, optimizing routes and availability for maximum efficiency.
- Maintain accurate records of scheduled appointments, property details, and client communications.
- Utilize scheduling or CRM software to manage appointments and update client and property data.
- Communicate clearly and professionally with homeowners and agents regarding appointment logistics, reminders, and rescheduling needs.
- Assist with intake of property information and ensure all documentation is organized and complete prior to inspections.
- Collaborate with inspectors, mitigation specialists, and customer support teams to maintain smooth workflows and high client satisfaction.
- Respond to scheduling conflicts or last-minute changes with professionalism and prompt problem-solving.
Skills
- Proven experience in scheduling, customer service, or administrative roles, experience in inspection, real estate, or environmental services is a plus.
- Familiarity with scheduling or CRM platforms (e.g., Salesforce, HubSpot, Google Calendar, etc.).
- Excellent verbal and written communication skills with a client-focused mindset.
- Strong organizational skills and attention to detail in managing multiple schedules and client records.

Requirements
All WMS must meet established minimum requirements:
- Have three (3) years of firefighting experience with a municipal, county or federal fire agency
- Prior successful completion of NWCG annual fire safety training with physical fitness Pack Test
- Possession of state and federal certification (or willingness to complete)
- ICS 100 (Introduction to Incident Command System)
- ICS 200 (Basic Incident Command System)
- S-110 (Basic Wildland Fire Suppression Orientation)
- S-130 (Firefighter Training)
- S-190 (Wildland Fire Behavior)
- S-212 (Wildland Fire Chainsaws)
- S-215 (Fire Operations in the Wildland Urban Interface)
- Possess a valid driver’s license with a clean record
- Strong written and verbal communication skills
- Professional appearance and ability to clearly communicate clearly with homeowners and RedZone’s customers
Desirable Skills
- Working knowledge of:
- Driver safety of a type 6 fire engine or equivalent
- Up-to-date knowledge of home inspection techniques

Ability To:
- Safely and effectively perform all wildfire prevention, mitigation, response, outreach, and reporting duties in accordance with established protocols
- Respond to in-state and out-of-state emergency incidents, including initial attack operations and multi-day deployments; work 10-hour shifts with flexibility for extended hours in all weather conditions
- Operate and maintain firefighting tools and equipment, including Pulaskis, chainsaws, radios, GPS units, and mobile reporting apps
- Perform physically demanding tasks under extreme conditions (heat, cold, smoke) and lift up to 50 pounds as needed
- Receive ongoing training from Senior Wildfire Mitigation Specialists and follow directives from Field Supervisors and Incident Liaisons
- Accurately complete property assessments and incident reports using a mobile app, providing detailed documentation
- Communicate clearly and professionally in both verbal and written forms; follow instructions and contribute to a team environment
- Maintain regular, reliable attendance and willingness to travel up to two weeks at a time throughout the year
